The Cleveland Museum of Art (CMA) is an art museum in the University Circle neighborhood of Cleveland, Ohio established in 1913 with a permanent collection of more than 43,000 works of art. CMA’s development and membership department came to JCA for help selecting a new system. We began by working with staff to define and document standard work procedures, including a thorough analysis of mail flow, gift processing and staffing. This documentation became the foundation for an Operations Manual to manage gift processing as well as the basis for the RFP for the selection of CMA’s new system. Using the criteria developed in the discovery process, we helped create and submit the RFP to five pre-qualified vendors, who we identified as potential candidates. We managed the evaluation of the vendor responses, drafted demonstration scripts for the two vendor finalists and supported CMA during contract negotiations. Based on the work we did with CMA, they were able to select a system that they were confident met their unique needs and would fulfill their strategic goals. |
